Phase 1
Week 1–2

Discovery & Scoping

Our Saudi Arabia–based implementation consultant meets with your key stakeholders — in person in Riyadh, Jeddah, or Dammam, or via video call for remote locations. We document your current processes, data structures, integrations, compliance requirements, and go-live priorities. You receive a detailed implementation plan, project timeline, and resource requirements before any work begins. There are no surprises in scope after this phase.

Phase 2
Week 2–5

System Configuration

Our technical team configures AdoxERP to match your business — chart of accounts aligned with Saudi GAAP, VAT and ZATCA settings verified, GOSI and payroll rules configured, inventory locations and warehouses set up, user roles and access permissions defined, and module workflows mapped to your business processes. For businesses with specific industry requirements — manufacturing BOMs, project work breakdown structures, or healthcare pharmacy registers — these are configured and tested in this phase.

Phase 3
Week 3–6

Data Migration

We migrate your historical data from your existing systems — customer and supplier records, product catalogues, opening balances, inventory counts, employee records, and historical transactions as required. Data migration is one of the most technically complex parts of any ERP implementation. Our team has migrated data from dozens of legacy systems used by Saudi businesses and handles the entire process, including data cleansing, transformation, and validation.

Phase 4
Week 4–7

ZATCA Registration & Testing

We register your business on ZATCA’s Fatoorah portal, obtain your ZATCA digital certificates, and configure the real-time API connection between AdoxERP and the ZATCA submission portal. Test invoices are generated, submitted, and validated to confirm Phase 2 compliance before go-live. You see ZATCA working correctly before your first real invoice is issued.

Phase 5
Week 5–8

Training

We train every user group on their specific AdoxERP workflows — in Arabic, English, or both, depending on your team’s preference. Training is role-specific: your finance team trains on accounting and ZATCA; your sales team trains on quotations and orders; your warehouse team trains on inventory and goods receipt; your HR team trains on payroll and compliance. Training is delivered in person at your offices or via interactive video sessions.

Phase 6
Week 6–12

Go-Live

Your team goes live on AdoxERP on a confirmed, pre-agreed date. Our implementation consultant is on-site or available live during your first days of operation — answering questions in real time, resolving any issues immediately, and ensuring your team has the confidence to operate independently.

Phase 7
30 Days

Post-Launch Hypercare

For 30 days after go-live, you have priority access to your implementation consultant and our Saudi Arabia support team. Any issues are escalated immediately and resolved with urgency. We conduct a two-week post-launch review to assess how the system is performing, identify any configuration adjustments needed, and confirm that every module is delivering as expected.
