What to set up first
What to create first in AdoxERP before sales, purchase, or inventory transactions.
Before creating quotations, orders, or invoices, set up your company records. Each form only shows options you have already created.
This guide explains the recommended setup order and how each area connects.
Setup hierarchy
Your company
└── Branches
└── Locations (warehouses / stores / vans)
└── Sub-locations (optional)
└── Users (assigned to branches)
└── Chart of Accounts
└── Payment Methods
└── Units → Taxes → Products
└── Customers / Suppliers
└── Transactions (Quotation, Sale Order, Delivery Note, Sale, etc.)
Recommended setup order
Step 1 — Organization
| # | What to create | Where to find it | Needed for |
|---|---|---|---|
| 1 | Branches | General Settings → Master → Branches | Locations and day-to-day transactions |
| 2 | Locations | General Settings → Master → Locations | Sales, purchase, and stock |
| 3 | Sub-locations | Sub-locations | Bins or shelves (optional) |
| 4 | Users & roles | Users, Roles | Staff access; assign branches to users |
| 4a | Approval Rules (optional) | General Settings → Master → Approval Rules | Hold documents (for example new customers) until they are signed off — Approval flow |
If your business has only one branch and one warehouse, you still need at least one branch and one location before transactions can be saved.
Step 2 — Financial foundation
| # | What to create | Where to find it | Needed for |
|---|---|---|---|
| 5 | Account Groups | Accounts → Account Groups | Chart of accounts |
| 6 | Account Detail Types | Accounts → Account Detail Types | Chart of accounts |
| 7 | Chart of Accounts | Accounts → Chart of Accounts | Payments, journals, ledgers |
| 8 | Payment Methods | Payment Methods | Recording payments on invoices |
Financial year start, currency, and date format are set by your administrator in business settings.
Step 3 — Products
| # | What to create | Where to find it | Needed for |
|---|---|---|---|
| 9 | Units | Products → Units | Creating products (required) |
| 10 | Taxes | Taxes | VAT on products and invoices |
| 11 | Brands / Categories | Products | Organizing products (optional) |
| 12 | Products | Products | Line items on transactions |
| 13 | Selling Price Groups | Selling Price Groups | Different prices for different customers |
| 14 | Document numbers | Module Numbers | Invoice and order numbering |
Step 4 — Customers and suppliers
| # | What to create | Where to find it | Needed for |
|---|---|---|---|
| 15 | Customers | Customers | Sales transactions |
| 16 | Suppliers | Suppliers | Purchase transactions |
Step 5 — Transactions
Once the above exists, you can create:
- Sales: Quotation → Sale Order → Delivery Note → Sale (Invoice) → Sale Return
- Purchase: Purchase Order → GRN → Purchase (Invoice) → Purchase Return
How transactions use your setup
| What you select on the form | Comes from |
|---|---|
| Customer / Supplier | Customers or Suppliers list |
| Location | Locations (warehouse or store) |
| Branch | Branch selector at the top of the screen (not on the form itself) |
| Products | Product catalogue — added as line items |
| Payment method | Payment Methods — chosen when recording a payment |
| Tax | Applied automatically from the product |
| Selling price | Customer's selling price group and location |
Branch is taken from the branch you select at the top of the screen. If you have access to more than one branch, choose the correct one before creating a transaction.
